Position: Manager – HR & Administration

Job role / responsibilities

• Interacting with functional heads and understanding current or future business specificrequirements of people and training and to resolve any people related issues faced by them

• Preparing annual manpower plans for the organization based on the growth plans andrequirements of people at various locations

• Creating and communicating hiring related strategies and processes to all team membersand other functional heads

• Facilitating resourcing for all locations and ensuring all open positions are closed on timeand ensuring timely communication of recruitment status to all concerned through MIS,reports and various updates

• Identifying areas for undertaking brand building activities with various recruitment sourcesfor achieving resourcing objectives

• Ensuring implementation and adherence of all HR policies and processes at all locations byall employees

• Conducting and ensuring regular discussions with employees to understand their issues andprovide solutions to them

• Identifying various motivation building initiatives like picnics, birthdays, awards, celebrationsetc. and implementing them on a regular basis to

• Scheduling and ensuring processing of payroll administration related activities for alllocations to meet targeted dates

• Verifying and ensuring maintenance of HR records for all personnel through paperdocuments and soft copies

• Providing necessary inputs, guidance and support towards training needs identification forall personnel across all functions

• Ensuring preparation of training calendar based on business and functional requirementsand coordinating necessary development initiatives and programs for their completion

• Ensuring all statutory compliances are met with on a timely basis and highlighting variouspotential issues to management

• Providing necessary support to functional heads and managers on performancemanagement process and methodology

• Providing necessary decisions to team members on various functional related issues

• Identifying and providing guidance to Production functions on IR related issues faced bythem at their plants

• Formulation and implementation of administration policies and processes in all facilitymanagement related areas

• Ensuring that all facility management requirements like housekeeping, security, and otherservices and material supplies etc are fulfilled for all office, plant and estate locations

• Identifying vendors and conducting negotiations with them and minimizing costs as definedby the company

• Monitoring security related activities at all locations and providing direction to the Securityin-charge on processes to be defined on reporting or escalation related areas• Conducting surprise checks on alertness of security guards at the units periodically andidentifying potential gaps in their operation

Position: Executive – HR

Job role / responsibilities

• Sourcing candidates for closure of various open positions at workers and staff levels atvarious office locations and units

• Interacting and coordinating with various possible sources for hiring of employees at alllocations• Completing all documentation related formalities during interview and joining stages for allemployees and creating and filing personal files for each employee

• Tracking selected candidates on issuing of job offers and ensuring their timely joining alongwith all necessary documentation

• Preparing induction training schedules for new joining personnel and conducting theirassessments at the end of the program

• Interacting with various functional heads to understand various HR related requirements,feedback and concerns faced by them and providing first level resolution for suchrequirements or forwarding to to Manager – HR for their resolution

• Implementation and communication of HR policies and processes at all locations andensuring they are clearly understood by all employees

• Interacting with employees on a regular basis to understand their needs / issues and counselthem as required and highlight the same for resolution in case they cannot be resolved attheir levels

• Handling compensation and salary administration related issues faced by employees atvarious locations and resolving them on a timely basis

• Maintaining HR records and databases for all personnel through paper documents and softcopies

• Helping identify training needs for various personnel based on functional/businessrequirements

• Coordinating and organizing training programs for employees based on training calenda

r• Monitoring and assessing performance of various recruitment service providers andidentifying new provides in case of reduction in service levels of existing providers

• Completing all statutory compliances on a timely basis each month for all employees andhighlighting any specific issues when they occur

• Preparing and providing various MIS and reports to all concerned functional personnel on atimely basis

• Receiving attendance data from various locations and processing payroll for all personnel ontime• Verifying and deducting necessary statutory and other amounts from the payroll beingprocessed

Position: Executive – Administration

Job role / responsibilities

• Planning and coordinating for all services in front office like visitors, inward and outwardmovement of documents, goods and services

• Monitoring consumption of services like electricity, telephone, etc for staff requirements atoffice locations and non-production areas at units

• Coordinating with various service providers for various facility management relatedactivities

• Identifying vendors for purchase of regular office supplies and providing inputs onnegotiated/market rates to the functional head for contract finalization

• Issuing office supplies to various personnel based on their requirements from time to time

• Maintaining records of all services provided by the Administration function to differentoffices

• Monitoring stock levels of all items supplied by Administration to ensure cost controlinitiatives are adhered to

• Liaison and maintaining relationships with various Governmental for various administrationmatters• Maintaining an inventory and register of all fixed assets for respective office locations andproviding the updated data to Accounts team for charging of depreciation

• Procurement of office supplies and ensuring their availability as required

• Monitoring service levels of all vendors and providing feedback to superiors to enableinitiation of steps for their improvement

• Coordinating with various service providers like travel, hotel, accommodation, security,housekeeping etc for providing service to all employees

• Providing periodic Administration related MIS and reports to functional head

• Identifying insurance companies and ensuring all fixed assets and material, transport, officesinsurance requirements are complied with

• Identifying project contractors for constructing, and furniture fit-outs for new offices to besetup

• Monitoring attendance of all employees and providing to Accounts team for payrollprocessing
